Tags are a flexible way to stay organized and make filtering easier across your job list and dashboards.
You might use tags to:
- Group jobs by region (e.g., NYC, Tri-State, Midwest)
- Track job types (e.g., Service, Installation, Tenant Fit-Out)
- Flag priority or special status (e.g., Warranty, Urgent)
Once tags are applied, you can quickly filter your job list, reports, and boards to focus on the work that matters most.
How to create tags
Admins can now create and manage tags directly in your Knowify settings.
- Go to Admin → Customize → Tags.
- Click Add new tag in the top right corner.
- Type the new tag name and select Save.
- The tag will now be available to assign on any job.
To prevent clutter and keep your tags consistent, only admins can create or merge tags. Non-admins can still apply tags to jobs, but can’t add new ones. This keeps your tag list standardized and avoids duplicates or typos that make filtering less useful.
How to merge duplicate tags
If you find similar tags (for example, “NY” and “New York”), you can merge them to keep things organized.
- Go to Admin → Customize → Tags.
- Select the two or more tags you want to merge by clicking the checkbox on the left hand side
- Click Merge Tags.
- Enter the tag name you want to keep, and click Merge.

Knowify will update all jobs automatically to use the new, merged tag.
Once merged, the old tags are removed and replaced across all jobs — no manual cleanup required.
How to assign tags to a job
- Open the job you’d like to tag or pull it up under the manage contract jobs page
- In the job header, click the + Add tag.
- You can select one or more tags from the list, or create a new tag (if you are an admin).
- Tags will now display on the job and appear in tag-based filters.
Only admins can create new tags, but any user can assign existing ones.
How to filter jobs by tag
Tags make it easy to narrow down your job list or dashboards to exactly what you need.
- Go to Jobs → Active Jobs.
- Click the Filter button.
- Choose one or more tags from the Tags dropdown.

Click Apply to view only jobs with those tags.
