When using Knowify's scheduling tools, you may notice that you are able to schedule both Phases and Assignments. These are distinct tools that each have their own uses and advantages when planning your jobs and communicating with your team
QUICK TIP: Phases You have scheduled will show up in all scheduling views of Knowify, including Calendar, Team View, Job Board, and Plan and Track. Assignments Will be displayed on Calendar and Team view but not the Job Board or Plan and Track .
Phases:
'Phases' correspond to Contract Job Phases from Plan & Track. When scheduling, you can select the dates the phase is being assigned to, or set dates based on the number of days the job will take to complete. You can also assign resources to the phase from this pop-up.
This will schedule the Phase for the entirety of the workdays indicated and update your job, reports and Plan & Track accordingly. Think of Phases as the building blocks of your job, and Phase scheduling as setting the groundwork for how you intend the job to run!
While you can edit or change the dates of a phase, you cannot assign the same phase twice. So if the phase 'Kitchen Reno' is scheduled for April 10th, and you try to Schedule it again for April 13th, the same phase will NOT be put on the Calendar twice. It can either be scheduled to run from April 10-13, or rescheduled to April 13.
Assignments
Assignments include scheduling for your Service Jobs and act as a more comprehensive and flexible way to schedule employees onto Contract jobs. You will be able to control not only the job/phase the employee is assigned but also set the date, specific time(s), and add scheduling notes, etc.
Because assignments are linked to a phase, but are not the phase itself, you can schedule multiple assignments for the same phase, or schedule assignments outside of the dates a phase was originally planned for. This can be useful for sending users back to a site for touch up work, meeting inspectors, etc. And because Assignments let you set the hours a user will be on site, they're perfect for your smaller engagements where you may need to plan multiple stops in a single day!
