When scheduling contract jobs in Knowify, assigning resources to a phase will automatically schedule them to work every day that phase is scheduled. But sometimes field staff need to be scheduled on a phase for multiple non-consecutive days or time frames. When that's the case, there are several workflows you can use to communicate this varying schedule to the field:
- Use assignments instead of phases
- Create an overlapping assignment during the break day
Using assignments
Assignments are individual scheduling blocks that provide resources, jobs, phases, days, time of day, and scheduling notes to communicate with staff in the field. They can be tied into individual phases of a job without rescheduling the phase itself. For an example: if a company is working on a phase called "Finishing" for 2 weeks in February, but then needs to schedule a follow up visit to work on finishing in April, assignments allow them to schedule the April appointment without changing the end date from February to April. (which is more accurate, considering the phase did not take place in March)
To create an assignment, click on the first day of the assignment in the calendar and choose "Assign Resource"
This will pull up a screen where the user can specify the resource(s), job, phase, date, time, and scheduling notes:
Any number of assignments can be made for different time frames to communicate to the field. So in the screen shot below, even though the Finishing phase of Project #000328 is scheduled through the week of the 16th, there is a break in the schedule on the 18th for one resource:
Creating overlapping assignments
If there is a specific case where a resource will not be on a phase one day, but will be associated with the phase every other day, users can create an overlapping assignment on the day where the schedule is different. This is useful in cases where the resource is out on PTO or has a single appointment that needs to take precedence over their main work, but will be back to the regularly schedule phase afterwards.
Here, John Higgins is scheduled on Finishing, which is planned from the 16th until the 24th:
If John needs to be removed from the Finishing phase on the 18th for another appointment, users can create an assignment on that day with more specific details for John to see:
When checking Knowify's smartphone app, John can still see both jobs, but the assignment that takes precedence also includes a specific time of day to represent something that has higher priority:
