Knowify's Daily Logs feature allows you to review and input the most pertinent information from a given job on a day to day basis, including photos, notes, and safety incidents. Daily Logs will be created automatically when there is activity (time entries, comments, progress, photo uploads, etc.) on the job for a given day, or they can also be created manually.
The following guide will highlight the functionality on the mobile application. Daily Logs can also be managed on the web version of Knowify.
- Location & Functionality
- Tracking Progress
- Subs, Employees, & Others on Site
- Safety Incidents
- Material Deliveries
- Uploading Photos
- Applying a Flag
Location & Functionality
You can find the Daily Logs module by navigating to any job/phase, and scrolling to the bottom of the page
This will bring you to today's daily log. At the top of the page, there is a scrolling calendar you can use to navigate to any previously entered daily log, or create one for any prior date. Below that you will see the different sections of the daily log, including notes, progress, and photos. While your Daily Log will automatically pull some of this information over the course of this job, you can also manually enter it here, as well as using the Daily Logs as an ongoing checklist over the course of your job
Tracking Progress
Tracking Progress allows you to mark progress complete on job phases, as well as add photos and comments to specific phases. As users log time into each phase, they will be added to that day's Daily Log automatically. You can also manually add a phase to add progress for using the 'Add Phase' button at the bottom of the page:
To add progress, ensure the Daily Log is still in Draft mode, then tap the Phase you wish to add progress to. This will take you to a page to input the updates as well as any documents you wish to upload:
Subs, Employees, & Others on Site
'Subs on Site' allows you to track what Subcontractors appeared on your jobsite on any given day. By default, your Daily Log will populate this field based on the phases being worked that day and the subcontractors assigned to those phases. If a Sub was on site, click the checkbox beside their name to indicate that they were on site that day.
You can also click the 'Add Other Subcontractors' button to note that a sub who is not a part of the job was on site. This can be useful in situations where a subcontractor was added last minute or to give foremen more authority to add subs to jobs before Subcontractor POs/contracts are approved.
Daily Logs also provides an 'Employees on Site' Module that lists all users with time active entries for each day, and an 'Other People on Site' Module for anyone else noteworthy you may want a record of being on site. (Inspectors, Delivery Drivers, Site Managers, etc.)
Safety Incidents
In the event of an on-the-job accident or Safety Incident, the 'Safety Incidents' module allows you to quickly and concisely create a report of what happened. Because incidents can be chaotic, and everything may not be known when the initial entry is made, the only Required field is the description of the incident. Knowify also provides fields to add Employee's involved, time of event, if there were injuries and additional witnesses as you gain a greater understanding of the event
Material Deliveries
If there are any open PO's on the job, you can use the 'Material Deliveries' section of Daily Logs to mark that the Material has been received on site.
You can select the checkbox to the right of each PO to indicate that the entire PO has been received, or select the arrow on the left to expand a PO and select specific line items to receive. You can also change the number delivered to receive a partial delivery by selecting the number of pieces directly:
Uploading Photos
You can upload photos directly through the Daily Log by scrolling to the Photos tab and selecting 'Upload Photo':
This will prompt you to either take a new photo or select an existing photo from your camera roll to upload to the Daily Log and to the job as a whole. You can use the 'Edit' button at the top right of the page to remove photos, if needed.
Applying a Flag
The 'Flag Report' Section of Daily Logs allows you to flag a Log for the office to follow up on or review. You can also add comments about why the report was flagged.
Back in the office, this day's Log will be marked with a flag icon on the main 'Daily Logs' page and on the Log itself. There is also a special section for any notes entered with the flag.
