Knowify's Daily Logs feature allows you to review the most pertinent information from a given job on a day to day basis, including photos, notes, and safety incidents. Daily logs will be created automatically when there is activity (time entries, comments, progress, photo uploads, etc.) on the job for a given day, or they can also be created manually.
The following guide will highlight the functionality on the Web version of Knowify. Daily Logs can also be managed on the Mobile Version of Knowify
Your Daily Logs contain the following sections:
- Location & Functionality
- Tracking Progress
- Adding Subcontractors
- Safety Incidents
- Material Deliveries
- Uploading Notes/Comments/Photos
- Generating a PDF
You can also view job Log information in a list view by checking the Audit tab on your project. This will list all general information such as comments, actions, and document uploads, all organized by date:
Location & Functionality
You can find Daily Logs tab under any contract job. In the Daily Logs section you can review all logs, see which ones were created automatically, and search/ filter for any created logs, as well as manually create new logs
Clicking on any individual log will take you to a slide out view where you can review, manage, and edit the daily log. This includes marking progress as complete, making incident reports, and receiving deliveries.
Tracking Progress
As users begin logging time to different phases, your daily logs will automatically update to track which phases were worked on each date. If you have enabled Progress Tracking on a phase, you can also update progress directly from the Daily Log:
Simply click the 'Add Progress' button and update as needed with new progress, as well as any notes or attachments you would like to add. If phase progress is updated anywhere else in Knowify or on the app, this will automatically update in the Daily Logs.
Adding Subcontractors
Subs on Site allows you to see, at a glance, what Subs were on the job site every day. By default, your daily log will populate this field based on the phases being worked that day and the subcontractors assigned to those phases. If a Sub was on site, click the checkbox beside their name to indicate that they were on site that day.
You can also click the 'Add Subcontractor' button to note that a sub who is not a part of the job was on site. This can be useful in situations where a subcontractor was added last minute or to give foremen more authority to add subs to jobs before Sub POs/ contracts are approved. If you need to remove a Sub, click the X icon on the right side of their name
Adding a sub to the Daily Logs does not create a contract or a Sub PO. It specifically notates that the sub was on site. If needed, you are able to retroactively add contracts and Sub POs for a sub after they have been added to a Daily Log.
Safety Incidents
In the event of an on-the-job accident or Safety Incident, the 'Safety Incidents' module allows you to quickly and concisely create a report of what happened. Because incidents can be chaotic, and everything may not be known when the initial entry is made, the only Required field is the description of the incident. Knowify also provides fields to add Employee's involved, time of event, if there were injuries and additional witnesses as you gain a greater understanding of the event
Material Deliveries
When you have an open PO on the job, users can utilize the daily logs to mark items as received. Under the Material Deliveries section you can select a given purchase and choose which item(s) to mark as received, as well as how much of the item has been received to on this date:
This will translate back to plan & track and in the job reporting:
Uploading notes/comments/photos
Your Daily Logs will automatically pull in any and all notes, comments, and photos created for that day by all users on both the mobile and versions of Knowify!
As other users add comments, photos, etc. throughout the day, it will continue to populate in the log automatically. No action is required on your part! When the Log is in draft mode, you are able to choose what comments will be visible on the final version on the Log by toggling the 'Show/Hide' Settings
Hidden comments are not deleted and can always be shown again by either editing the log and toggling them back to 'Show' or from the Audit page of your project
Generating a PDF of your daily logs
You are able to generate and download a PDF version for a daily Log at any time by clicking the three dots in the top right corner of the log, and selecting 'Download PDF'
This will automatically download a PDF version of the daily log as it exists at that moment in time. You can also select 'Copy Link' to generate a link to the live daily log. Please note that in order to access the log, you must be able to log into Knowify
