Knowify's Job Templates feature allows you to quickly and easily create a 'Template' contract job complete with a Plan and Track, Proposal, Documents, Forms etc. Moving forward, whenever you create a new job, you can choose to apply one of your existing templates to automatically import all of these sections exactly as they were on your template:
To create a Job Template, navigate to the Contract Jobs section of Knowify, select the Job Templates tab, and select 'Add New Template'
When creating a Job Template, start by selecting the type of job you'd like to create and default settings, such as Project Manager/ Sales Lead, Tags, and applicable forms. Hitting 'Save Template' in the top right of the screen will create the template, and allow you to customize it further:
Plan and Track will allow you to build out a default budget for this template including costs per phase, defining progress, and setting estimated time to complete each phase. You can also attach default tasks to phases as needed using either the 'Add New Task' button to create a brand new task, or the 'Add From Dictionary' button to import an existing task from your Task Dictionary
Proposal will allow you to set default line items (including catalog items and service templates), set a contract description, and mark individual line items as taxable, as well as selecting the default tax rate for the template.
Documents: Will allow you to upload pictures, documents, etc., and any jobs built from this template will automatically have access to all of these documents! This is especially useful if you have standardized checklists, reports, or diagrams you'll want your team to have by default every time they do jobs of a certain type:
Editing Templates If you ever need to edit your existing Job templates, you can do this by navigating to the Job Templates page, and clicking the three dots on the right side of the template you wish to change
- Edit: Edit the existing Job Template. make changes such as adjusting settings, adding or removing documents, amending Plan & Track and Proposal. Changes will effect all uses of the template Moving Forward.
- Make inactive: Disable the Job Template so that it will not show up as an option when creating new jobs. This template will remain in your Knowify so that it can be reactivated or edited further at a later date.
- Delete: Fully delete a template and remove it from your Knowify. This action is permanent and CANNOT be undone. Please ensure that you will never need a template again before deleting.
Using templates Once you have finished creating your first Job Template, you will have the option to 'Apply Job Template' when creating a new job. Selecting this option will allow you to choose one of your active templates to apply to the job you are creating.
Once you have applied a Job Template to a new job, this template cannot be removed. The only way to create a version of the job without the template attached would be to delete and recreate the job, or manually remove all of the template elements.
This will create a job according to the selected template. From there you are free to edit the individual job as needed to fit it's specific needs, or you can jump right into sending the proposal and invoicing!
