Service quotes allow you to send your customers an estimated scope of work and cost for their service request, so you can get that work approved before dispatching a tech or adding the job to the schedule.
Knowify makes it easy to generate and send a quote and collect e-signatures or revision requests from your customers, all while keeping track of the quote status and history for every service job.

How to create a service quote
To create a service quote, you’ll first need to create (or edit) a service job. Beneath the service work type, you’ll see the option to enable a service quote.
Once you enable a service quote for the job, you’ll see the option to edit the terms and conditions for the quote. Edit the default terms and conditions for your service quotes, go to Admin > Customize > Defaults > Service Quote Terms and Conditions).
Once you click Submit, Knowify will automatically generate a service quote for the job. The following information from the job ticket is automatically included in the quote:
- Job name
- Customer name
- Job address
- Description of services
- Detailed line items (for fixed price jobs)
- A standard work approval (for time & materials jobs)
- Terms and conditions
How to view a quote for a service job
To view a PDF preview of the service quote, scroll to the top of the job, click on the three dots next to quote status, and click View.
Each time a quote is created, edited, sent, or approved, Knowify will also save a copy to the Documents section of the job.
How to send a service quote
When you’re ready to send a service quote to your customer, scroll to the top of the job and click Send next to the quote status.
You’ll have the option to edit the email details, including the recipient’s email address, subject line, email text, and attachments. A PDF of the quote will automatically be included as an attachment to the email.
Under Advanced Settings, you’ll have the option to set an expiration date for the quote, manage attachments, generate a signature link, and set auto-reminders.
When you’re ready, simply click Send email to send your quote to the customer.
How to manage approvals and revisions for service quotes
When your customers receive your quote, they will have the option to either provide an e-signature to accept the quote, request a revision to the quote, or reject the quote outright.
Knowify will automatically update the quote status to show whether the quote has been accepted or rejected, and will save the revision requests in the Activity feed for the job.
How to track the status of a service quote
Once you’ve created a quote for a service job, Knowify will show you the quote status at the top of the job, along with a timestamp of when it was last updated.
For a more detailed quote history, refer to the Activity feed of the service job.
You can also view the quote status at a glance from the Service jobs list. Next to the icon indicating invoice status you’ll see another icon indicating quote status. Hover over the icon for more details.
