Many users do not want to sync projects to QBO at the time they’re created since they do not need to be tracked until they’re made active. Others prefer to have contract jobs sync automatically but service jobs to follow a different workflow. The auto-sync setting allows you to set specific rules for how jobs will sync with Quickbooks to avoid cluttering the QBO account with projects that never come to fruition. This is especially useful for customers that quote in volume and only win a small percentage of their jobs.
In your admin section under the customize tab and Quickbooks section you will see an option for "Sync With Quickbooks Projects". This will display a drop down menu for contract jobs (and a separate one for service jobs if you are setup with Service Pro):
The options here are as follows:
- Always Automatically - This will sync the job immediately upon creation without any user action needed
-
Optional but sync by default - We will have a checkbox to Sync with Quickbooks when creating the job, which will be checked on by default so the job will be set to sync automatically unless this option is unchecked for the individual job:
- Optional, but do not sync by default - We will still show the sync with Quickbooks checkbox so you can enable the sync on a job to job basis, but this box will be unchecked by default so the job will not sync without user action.
Note: If you are syncing your jobs to Quickbooks as subclients, this feature will not enable the sync to QB Projects. It will still operate the same way but will send the job to QB as a sub-client instead of as a Project
